Our solution

One platform: digital workplace, CMS, and AI assistant.

Rather than browsing folders or searching several systems, employees ask a question. The platform searches thousands of enterprise documents, understands the context, and generates an answer with references to the original source — and because it is built into the intranet and CMS, new knowledge becomes searchable the moment it is published, with existing permissions still protecting sensitive content.

What an employee gets06
  • An answer, not a folder to browse
  • References back to the official document
  • One place for content, apps and search
  • Search in everyday language
  • Only the content they are permitted to see
  • New knowledge searchable as soon as it's published
The challenge

The organisation needed more than a search engine.

As the company expanded globally, knowledge spread across thousands of documents held throughout the intranet and content management system — medical guidelines, regulatory documentation, SOPs, product information, quality manuals and HR policies, each in its own repository.

What made it hard
  • Thousands of documents across systems
  • 30+ countries, 20,000+ employees
  • Regulated content — accuracy is non-negotiable
  • Existing role-based permissions preserved
  • New content published continuously
  1. Knowledge sat in separate repositories

Medical, regulatory, quality and HR content each lived in its own place, with no single way in.

  2. Finding it meant searching several systems

One question could mean checking the intranet, the CMS and a document library in turn.

  3. Experts became the search engine

People asked experienced colleagues instead, which slowed both sides down.

  4. Folders, not answers

Even a successful search returned documents to read rather than the answer to the question.

  5. Keyword lookup missed the meaning

Finding the right file meant already knowing its name or the exact wording inside it.

  6. Security could not be traded for speed

Any answer layer had to respect the permissions already protecting sensitive content.

How it works

From enterprise content to a sourced answer.

Six stages, most of them running before anyone types a question — so by the time an employee asks, the knowledge is already prepared.

Enterprise content across the intranet and CMS

  1. 01

    Centralize enterprise knowledge

Documents are securely managed through the Liferay CMS and enterprise document library.

    Includes
    • Medical documents
    • SOPs
    • Compliance policies
    • Product documentation
    • Research papers
    • HR policies
  2. 02

    Build an AI knowledge base

The platform processes enterprise documents, creates searchable knowledge, generates semantic embeddings, and indexes the content without changing the original documents.

  3. 03

    Ask questions naturally

Employees interact with the AI assistant using everyday language instead of navigating folders or remembering document names.

  4. 04

    Intelligent enterprise search

The platform combines semantic search with Retrieval-Augmented Generation (RAG) to identify the most relevant content across thousands of enterprise documents before generating an answer.

  5. 05

    Trusted AI responses

Every response is generated using official company knowledge and includes references to the original documents, allowing employees to verify information with confidence.

  6. 06

    Enterprise scale

As new documents are published through the CMS, they automatically become part of the searchable knowledge base, enabling the platform to continuously grow without affecting performance.
